PARKING
If you are driving a personal vehicle, valet parking is available at the hotel.

TRANSPORTATION
Louis Armstrong New Orleans International Airport (MSY) is approximately 25 miles (30 minutes) from the hotel.

WELCOME RECEPTION & MEMBERS-ONLY DINNER
The Chiefs for Change Annual Meeting will kick off with a welcome reception on Monday, Feb. 26, from 5 to 6:30 p.m. in the St. Charles Ballroom at the Hilton New Orleans/St. Charles. Light bites and refreshments will be served. You can expect to see representatives from the 10 sponsoring organizations who made our Annual Meeting possible, as well as some of our key partners and Chiefs for Change staff. We will be engaging informally in a networking format for the entire duration of the reception, with brief remarks from Bob and our local Chiefs.

On Tuesday, Feb. 27, we are pleased to host our inaugural members’ dinner from 6:30 to 8:30 p.m. at the Napoleon House. We created this opportunity in response to feedback from members that highly valued the time spent in the community. A seated dinner will be served and a lively band will provide entertainment. Only members and a subset of staff will be present in this space. We look forward to coming together to celebrate and enjoy our host city.

We are requiring attendance at both events in order to ensure we have an opportunity to connect meaningfully as a network outside of formal programming time.

VIDEOGRAPHY/PHOTOGRAPHY
To showcase our gathering and the valuable insights shared during our time together, a videographer and photographer will be onsite to capture photos/videos for future marketing purposes.

REIMBURSEMENT
Reasonable and necessary travel-related expenses, including airfare, meals, and ground transportation incurred by attendees, will be reimbursed pending approval.

Airfare
Flights exceeding more than $600 must be preapproved by Alicia Hernández. Please contact Alicia at ahernandez@chiefsforchange.org. Flights will be reimbursable for coach fares plus one checked bag each way.

Transportation
Ground transportation (e.g., UberX, Lyft, taxi, public transportation), as well as airport parking and mileage for those who drive their own vehicles, will be reimbursed. Individuals who drive must provide a Google map of the trip with their reimbursement request. Mileage will be reimbursed according to the 2024 standard government rate of $0.67/mile.

We will not reimburse purchases of fuel, repairs, etc., or any tickets or citations incurred during the duration of the meeting. Parking and tolls may be reimbursed for business-related meetings or travel, with appropriate receipts submitted.

Meals
Chiefs for Change will reimburse all “On Your Own” meals, as referenced in the meeting agenda.  To ensure responsible use of per diem allowances, members are encouraged to adhere to the following average cost per meal (including tax):

    • Breakfast: $15
    • Lunch: $25
    • Dinner: $35

Please track all travel-related expenses for the Annual Meeting using the reimbursement form. You will be required to make a copy of the form in order to submit your reimbursement request. All forms are due, with receipts, by Friday, March 29 to accounting@chiefsforchange.org and cc: lmoore@chiefsforchange.org.  Requests submitted after this date will not be processed.
